We are seeking an organized and efficient Administrative Assistant to provide support to both Beijing and Shenzhen team, as well as handle front desk duties. The ideal candidate will possess excellent communication and organizational skills, be able to multitask effectively, and have a friendly and professional demeanor.

 

What you will do::

  1. Greet and assist visitors, clients, and employees in a friendly and professional manner.
  2. Manage the reception area, ensuring it is clean and always organized.
  3. Assist with administrative tasks such as filing, data entry, and processing paperwork, handle sensitive and confidential information with discretion.
  4. Coordinate incoming and outgoing mail and packages.
  5. Coordinate travel arrangements and accommodations for staff as required.
  6. Maintain equipment, facilities, office supplies inventory and place orders as necessary.
  7. Provide general administrative support to team members.
  8. Monitor and track inventory levels, order statuses, and delivery schedules to ensure timely procurement of goods and services, monitor vendor’s daily service.
  9. Maintain accurate records of procurement transactions, contracts, and supplier information.
  10. Assist with office events / team-bonding activities planning and execution and other duties as assigned to promote employee engagement and a positive work environment.
  11. Secretarial duties to support GM and other Ad-Hoc tasks assignments as deemed necessary.

 

What you have:

  1. Bachelor's degree.
  2. Proven experience in a receptionist or administrative support role.
  3. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
  4. Strong verbal and written communication skills, with the ability to build positive relationships with employees at all levels.
  5. Excellent customer service and interpersonal abilities.
  6. Strong organizational and time management skills with the ability to prioritize tasks effectively.
  7. Detail-oriented and well-organized with problem-solving skills.
  8. Ability to work independently and as part of a team.
  9. Knowledge of office management systems and procedures.
